World Coffee Research (WCR) is seeking a knowledgeable, experienced, driven, and detail-oriented Financial & HR Administration Manager to join our remote international team. This role, part of our small, high-performing Finance and Administration team, is central to managing U.S./international payroll, financial account reconciliations, receivables/payables in Acumatica, and staff onboarding across SaaS platforms. We are looking for a proactive self-starter comfortable in a fast-paced, multicultural environment who leverages modern remote workflows and AI-driven tools to optimize administrative operations.
Candidates should have a Bachelor's degree in accounting or a related field and 5+ years of experience in U.S. accounting, nonprofit financial administration, and/or business management. You will bring hands-on experience in U.S. payroll, benefits, banking, and financial reporting, with a background in international payroll and PEO/EOR platforms; DonorPerfect and Acumatica are highly valued. Job Title: Financial & HR Administration Manager
Job Purpose: The Financial & HR Administration Manager is responsible for efficiently and accurately managing accounts receivable, preparing payments for all accounts payable invoices, and managing and administering the Checkoff program. This position handles all aspects of U.S. employee payroll, insurance, and benefits; works closely with the People & Administration Director on international company payroll, benefits, and administration across various software platforms; and supports employee engagement and culture-building with the Communications team.
Key Accountabilities
Financial Administration (35%)
- Manage Accounts Receivable and prepare all U.S. banking transactions for Accounts Payable.
- Develop and maintain relationships with banks, insurers, vendors, and customers to support financial activities.
- Support the preparation of monthly, quarterly, and annual financial account reconciliations for AR, AP, and payroll.
Membership administration (25%)
- Manage reporting, invoicing, collection, and accounting of checkoff and membership contributions.
HR administration (25%)
- Manage and process payroll and monthly benefit payments, and PEO and EOR relationships.
- Manage staff leave requests and document changes in compensation and fringe benefits.
- Coordinate US benefit administration.
- Process new hires/terminations and manage onboarding.
Employee engagement and culture (15%)
- Contribute to employee engagement and culture-building through thoughtful, effective internal communications, team activities, and resources that keep WCR’s global team informed, connected, and engaged.
What we're looking for
Education
- Bachelor of Science degree in accounting or related field and five years’ experience in Accounting and Business Management.
Experience
- Minimum 5 years of experience in US Accounting and Business Management.
- Experience with US payroll and benefits. Experience with international payroll and benefits highly preferred.
- Experience supporting human resources, internal communications, employee engagement, culture-building, or related work.
- Experience working in an international environment and communicating with different cultures and audiences.
Knowledge
- Knowledge of economic and accounting principles and practices, specifically related to U.S. non-profit accounting, banking, and the analysis and reporting of financial data.
- English fluency required. Spanish professional proficiency strongly preferred.
- Familiarity with modern remote software workflows, operational efficiencies, and AI-driven productivity tools for streamlined HR and administrative operations.
Skills
- Strong organization and project management skills with an eye for detail; ability to plan, prioritize, and implement projects in a fast-paced, dynamic multicultural environment.
- Proficiency with online accounting platforms, preferably Acumatica.
- Strong IT skills and AI proficiency (MS Excel, Google Drive, ERP software, AI productivity tools).
- Proven ability to manage administrative tasks, user configurations, and operational workflows within SaaS platforms (e.g., Built for Teams, KnowBe4, IT Helpdesk).
- English fluency required; Spanish professional proficiency strongly preferred.
- Excellent communication skills.
